Good business practice – 1/22/24

I hope everyone is doing okay. I was recently asked how I keep track of so much information and document so many moving parts?

One thing to keep in mind when managing a process, workload, and staying organized is doing it consistently. Consistently keeping up with your calendar, list of resources, reference tools and people.

Creating a checklist is my favorite on how to process, keep a guide of the steps to complete a task. Keep a good working task list, use teams or one note to update it each day. It also supports in delegating and keeping track of the progress. I use teams to create tasks, assign and track, filing and flagging documents and people for updates. Know when and how to use your resources. Maintain your checklists for changes. The most difficult part is starting.

Intranet links are useful resources. Electronic filing is important. I file reports to outside agencies according to year, project number and date. The naming convention of your document is important to easily find when needing to reference back to.

When you have several options on how to process, complete, and execute an important task choose the best option that will be effective and best outcome, detail and notes. Do something to the point that if a person picks up your files, they will know what you did and know how to do it without asking. All the Best!
